Quick start guide: from sign-up to your first completed round

Welcome to CheckTasks. This guide walks you through setting up your account, from your first site to your team’s first completed round. Most teams are up and running in under an hour.

Waiting for your verification email?

Gmail, Microsoft (Outlook, Hotmail, Microsoft 365) and other email providers scan and check the links in incoming emails before delivering them. This can delay your verification email by a few minutes.

Read on while you wait. Nothing below needs doing until you’re signed in. If the email still hasn’t arrived, check your spam or junk folder.

How CheckTasks fits together

  • Sites are your locations: a building, hotel or property.
  • Checkpoints are the specific points at a site your team must visit and scan, each marked with a QR code or NFC tag.
  • Routes are sets of checkpoints checked together, in order.
  • Schedules say when each route needs checking.
  • Your team uses the mobile app to scan each checkpoint, complete tasks and report issues. You see everything live in the web dashboard.

1. Verify your email and sign in

Open the verification email and click the link. You’ll be taken to your dashboard. If you’re asked to sign in instead, use the email and password you chose at sign-up at app.checktasks.app.

Your free trial runs for 30 days on the Standard plan, with up to 10 sites, 500 checkpoints and 10,000 scans a month. No card is needed.

2. Create your first site

The first time you sign in, the Quick Start wizard opens. It explains how sites, checkpoints, routes and schedules fit together, then asks you to create your first site: give it a name, address and an on-site contact, then choose Create Site & Add Checkpoints.

You can skip the wizard and do this later from Sites in the sidebar. A short getting-started checklist stays on your dashboard to show what’s left.

3. Add checkpoints

Add a checkpoint for each place your team needs to visit, such as a fire door, plant room, entrance or car park. The wizard lets you type in a list of names straight away, and you can add more at any time from your site or from Checkpoints in the sidebar.

Want more than a scan? Add Tasks to a checkpoint, such as “Door closes fully” or “Lights working”, so your team ticks them off while they’re there.

4. Print QR codes or set up NFC tags

Each checkpoint needs something to scan. You can use either:

  • QR codes: go to Print & Guides, choose your route or the checkpoints you want, then print the codes and stick them up at each location.
  • NFC tags: write tags with the mobile app, one at a time or a whole route in one go. This needs an Admin or Manager login.

5. Create a route

Go to Routes and create a route from the checkpoints that should be checked together, in the order your team walks them. For example, “Ground floor fire doors” or “Night round”.

6. Set up a schedule

Go to Schedules and choose when each route needs checking: the days and the time windows. CheckTasks then shows what’s due, what’s been done and what was missed, and can alert you when a round is missed.

7. Invite your team

Go to Staff and choose Invite by Email. Pick each person’s role (guard, supervisor, manager or admin) and the sites they work at. They get an email and choose their own password. You can also use Add Staff Member to set up a login yourself.

8. Get the mobile app

Your team needs the CheckTasks app on an Android phone, available on Google Play. They sign in with their email and password. An iPhone app is coming soon.

The app works offline. Scans, photos and reports are saved on the phone and sent as soon as it has signal again.

9. Complete your first round

Do a test round yourself: sign in to the app, start the route and scan each checkpoint. Then go back to the web dashboard. You’ll see the round under Patrols and each scan under Scans, with times and locations. Reports lets you download a record of the checks.

Stuck on anything? The Help Center in the sidebar has a page for every feature, or email us at support@checktasks.app. We offer free setup help.

Frequently asked questions

My verification email has not arrived. What should I do?

Give it a few minutes. Gmail, Microsoft (Outlook, Hotmail, Microsoft 365) and other providers scan the links in incoming emails before delivering them, which can hold a message up briefly. Check your spam or junk folder too. If it still has not arrived, use "Resend Verification Email" on the screen you saw after signing up, or contact support@checktasks.app.

How long is the free trial and do I need a card?

The trial lasts 30 days on the Standard plan, with up to 10 sites, 500 checkpoints and 10,000 scans a month. No credit card is needed to start.

Is there an iPhone app?

The CheckTasks mobile app is available for Android on Google Play today. An iPhone app is coming soon.

Can I skip the setup wizard and come back later?

Yes. You can skip the wizard at any time. A short getting-started checklist stays on your dashboard until you dismiss it, and the Help Center in the sidebar covers every feature in more detail.

Some features, such as Smart Forms and Readings, are switched on per account and may not appear in your sidebar.
